The Department of Records verifies the following data items contained on the Recorders Index: Recording Date,Document Type, Book & Page of Instrument, Counter Number, Document ID Number, All Parties Names, Reference Notations to Mortgages, Satisfactions, and Uniform Commercial Code Financing Statements.

ANY OTHER INFORMATION INCLUDED ON THE RECORDERS INDEX IS STRICTLY PROVIDED FOR THE CONVENIENCE OF OUR CUSTOMERS AND IS NOT REQUIRED BY LAW. THE DEPARTMENT OF RECORDS RECOMMENDS THAT ALL CUSTOMERS VERIFY ALL INFORMATION CONTAINED ON THE RECORDERS INDEX BY EXAMINING THE MICROFILMED OR IMAGED COPY OF THE RECORDED INSTRUMENT.
Notice of Change in Recording RequirementsEffective November 3rd, 2008
Pursuant to City Council Bill No. 080424-A, new requirements apply to deed documents submitted for recording. The bill may be reviewed at www.phila.gov/records. Select Document Recording.
Deed Name Match
A name match of the seller¿s name and buyer¿s name on the prior deed transaction will be performed.
Documentation
If the grantor involves decedent's letters of testamentary or administration, grantor is a trustee, grantor is a corporation or grantor is signing under a power of attorney, documentation as specified in the bill must be submitted with the deed.
US Postal Mail
If the deed is sent by US Postal Mail, the mail must be certified or registered.
Exceptions to the above
If you are an attorney or title company, you can submit an affidavit form for each deed submitted for recording. If the affidavit form is submitted, the requirements listed above do not apply.
